Office Relocation Checklist for Businesses

An office move is measured by how fast work resumes. This checklist is built around that single metric.

Every office relocation has one real deadline: the moment the team needs to be working again. Planning backwards from that point — rather than forwards from packing day — is what keeps downtime short.

Start with the new floor layout

Before anything is packed, decide where every desk, cabinet and department will sit in the new premises. Labelling can then reference the destination position, which means furniture and cartons are placed correctly on arrival rather than sorted afterwards.

Assign an internal coordinator

One person should own the move: the point of contact for the moving team, the keeper of the layout plan, and the decision-maker when something unexpected comes up. Moves without a single owner stall on small questions.

Plan IT before furniture

Network connectivity at the new premises has the longest lead time of anything in the move and is the one item that can leave a fully furnished office unable to work.

  • Confirm internet connectivity is active at the new address before the move
  • Photograph server and network cabling before disconnection
  • Bundle and tag cables to the devices they belong to
  • Back up critical systems before anything is powered down

Handle documents deliberately

Files and archives should be packed by department, sealed and labelled, with confidential material recorded so it can be accounted for at both ends. This is also a good moment to retire records that no longer need storage.

Communicate with staff and clients

Tell your team what to pack personally and by when, and give clients, suppliers and delivery partners the new address in advance. Update the address on your website, invoices, email signatures and Google Business Profile.

Sequence the first day back

Unload in the order work resumes: workstations and IT first, storage furniture and non-essential items after. Being able to seat and connect the team on day one matters more than having every cabinet in place.
